Form Processing Data Entry Requirement from the Client

The client inquired about Data Entry Outsourced (DEO) through the web, and after learning about our years of data entry, data conversion, and data processing services, they wanted to partner for their new project. The project was about form processing of close to 30,000 forms every week. The task involved verification and processing of all the forms within 24 hours.

24-hour Delivery Timeline Was the Challenge

As the processing of over 30K forms needs to be fetched from the client’s web portal every week, verify them and validate them for approval – all within 24 hours, it required a stringent process. Moreover, the client had requested at least 98% accuracy of the deliverables. To overcome these challenges, DEO’s leadership team formed an experienced team of data entry operators and placed a multi-level QC process.

Process Followed for This Data Entry Project

For the timely delivery of the project, DEO formed a dedicated team of 30 data entry specialists, three team leaders, and one project head. The QC process was assigned to 10 QC experts and 1 QC lead. The process for the project was as follows:

  1. A 2-week training was provided to the project manager and team leads by the client for hassle-free communication and to meet the accuracy level. The same knowledge was passed on to the other project members.
  2. The resources did a test run to ensure that they have understood the process well.
  3. Our team had to use the client’s platform and extracted all the form details.
  4. The data were verified based on the input fields specified by the client.
  5. The forms were then validated based on the parameters set by the client and then approved.
  6. A multi-level quality check was done, and the details were sent to the client.
  7. The client checked and then gave us the green signal to proceed.
