The Client - A Premier Multi-specialty Medical Practitioner

Our client is a multi-specialty medical practitioner, and teaching facility for medical students, that offers quality care for patients of all ages in Canarsie, Brooklyn, and metropolitan New York City.

Patients have access to medical care and on-site diagnostic services from multilingual staff specializing in a wide range of medical fields including Cardiology, Dentistry, Dermatology, Endocrinology, Gastroenterology, General Surgery, Gynecology, Ophthalmology, Pediatrics, Podiatry, Psychology, Urology, and a recently opened Urgent Care facility.

Project Requirement - Validation of Mediclaim Policies

The client approached Data Entry Outsourced to find out whether students from several schools in the United States of America had active or expired health insurance policies with seven different insurance providers. The client was asked to provide detailed Excel spreadsheets listing the names of the schools and students that our analysts needed to investigate, as well as a list of the seven health insurance providers whose portals we would need to check.

Using the minimal information provided by the client, DEO would need to collect policy data including the policy number, policy status, address, age, gender, and medical history information of each student on the list. This data would then need to be entered into the client's CRM database.

Challenges Faced by Data Entry Outsourced

The biggest challenge experienced by DEO throughout this project was managing to find valuable resources in a very short timeframe. Specifically, finding team members with experience in CRM data entry and the required knowledge of medical insurance policies was very difficult.

Process Followed by our Data Validation Specialists

Seven team members were assigned to this project in a full-time equivalent (FTE) capacity. They have spent the past three months (and counting) collecting data for between 60 and 70 students from three schools per month.

The step-by-step guide to our process:

  • We received the project brief and familiarized ourselves with the client's requirements.
  • We spent some time discussing fixed deliverables and timelines, presented these to the client, and received the client's approval.
  • Our management team searched for resources and assembled a team of seven dedicated FTE members.
  • This team used the limited information provided by the client to search for the students' medical insurance policy data across the seven health insurance providers' portals.
  • The data collected was then entered into the client's CRM database.
  • Once all the required data for each student in each school was entered into the client's CRM database, the client was notified, and that batch of the project was closed.

End Benefits of This Insurance Data Validation Project

By outsourcing data entry task to DEO, the client was able to save a great deal of time which could then be used for other important tasks. The client was also able to mitigate the cost of hiring a full-time team of their own to complete this task.

Utilizing the very basic information required to collect the students' health insurance policy data, we were able to complete the project quickly, resulting in up-to-date information in the client's database.
